Team & roles

Access in CrowPrime is role-based and evaluated on the server for every request. A member's role decides which navigation entries appear and which actions the API will accept.

Available roles

CrowPrime has nine roles. Owner is set at organization creation; the other eight can be assigned to members. There is no separate Operations role — warehouse and fulfillment work is split across Supervisor, Manager and Picker.

  • Supervisors can edit invoices but not cancel them; cancelling is Owner, Admin and Finance. Supervisors cannot open expenses, VAT, export or tax pages.
  • Listings*: the Dropshipping role can work on listings and sourcing but not on research or projects.
  • Support cannot see order amounts by default; an Owner can grant it via overrides.
  • Deleting products, creating warehouses and deleting locations need Owner or Admin; creating products and adjusting stock is also open to Supervisor, Manager, Picker and Dropshipping.

Permission overrides

Owners can fine-tune individual roles under Settings → Roles & permissions. Overrides are stored per organization and applied on top of the defaults at runtime.

  • Each override is a single role + permission switch, for example granting Support the right to view order amounts.
  • Managing role permissions itself is Owner-only and cannot be delegated.
  • Changing a member's role is Owner-only; inviting and removing members is Owner and Admin.

Inviting members

    Open the team page

    Settings → Team lists current members, pending invitations and roles.

    Send the invitation

    Enter the email address and pick one of the eight assignable roles. The invitee receives a link that expires after seven days; unaccepted invitations can be resent or revoked.

    Acceptance

    The invitee accepts via the invitation page and lands in the organization with the assigned role. If they already have a CrowPrime account, the new organization simply appears in their switcher. Seats are checked at acceptance: if the plan seat limit is reached, acceptance is blocked until a seat is freed or the plan is upgraded.

Note

Seats are counted per active member. If your plan seat limit is reached, invitations are blocked until you remove a member or upgrade.

Changing or revoking access

  • Role changes take effect on the member's next request — no re-login required.
  • Removing a member immediately invalidates their sessions for that organization only.
  • Ownership transfer requires selecting an existing Admin; the former Owner becomes Admin.

Access rules to know

  • Roles never grant cross-organization access, even for Owners of several organizations.
  • Suspended account status narrows every role to read-only, including Owner, until billing is resolved.
  • Crow AI answers are scoped to the asking member's permissions, so a Viewer cannot extract data they could not open in the UI.
